Terms & conditions.
These terms apply whenever you book, buy or visit through this website, our booking portal or by phone. We've kept them as short and plain as we can. If anything isn't clear, email hello@waresleyparkestate.co.uk or call 01223 491396.
1
About us.
Waresley Park Estate is run by Waresley Park Estate Limited, a company registered in England and Wales (company number 13144933). Our registered office is Waresley Park Stud, Gamlingay Road, Waresley, Sandy, Bedfordshire SG19 3DD.
Payments for everything on the estate, including the coffee shop and online food orders, are taken by Waresley Park Estate Limited.
You can contact us at hello@waresleyparkestate.co.uk or on 01223 491396.
These terms apply whenever you book, buy or visit through this website, our booking portal (welly.waresley.info) or by phone. Where a booking has its own terms (for example a spa booking or a membership), those terms apply as well, and they take priority if the two differ.
2
General terms.
Your booking
A booking or order is confirmed when we email you a confirmation. If we can't accept it (for example the slot has just gone), we'll tell you and refund anything you've paid in full.
Prices
Prices are in pounds sterling and include VAT. The price you pay is the one shown at checkout. If we've made an obvious pricing error, we'll contact you before going ahead.
Your right to cancel within 14 days
UK law gives you 14 days to change your mind about some things bought online or by phone. It does not apply to:
- stays, spa bookings, swims, classes, court hire and event tickets for a specific date or time;
- food and drink made to order, such as pizza for collection.
For those, the cancellation terms for that booking (below) apply instead. It does apply to gift cards, memberships and goods from our online shop: you can cancel within 14 days of buying, as long as you haven't used them, and we'll refund you in full.
Changes and cancellations by us
Very occasionally we may need to cancel or change a booking (for example because of severe weather, a safety issue or a facility being out of action). If so, we'll offer you another date or a full refund. We won't be responsible for other costs, such as travel, unless we were at fault.
Taking part safely
Some of what we offer is physical: swimming in open water, saunas, padel, treatments. Please read the safety information for each activity, tell us about any health conditions that matter, and follow our team's instructions. You take part at your own risk, except where we have been negligent.
Our responsibility to you
We are responsible for loss or damage you suffer that is a foreseeable result of us breaking these terms or failing to use reasonable care. We don't exclude liability for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn't allow us to exclude. We aren't responsible for personal belongings left on the estate unless the loss is caused by our negligence.
Gift cards and discounts
Gift cards and discount codes can be used where we say at checkout. Only one discount code can be used per order unless we say otherwise.
Changes to these terms
We may update these terms from time to time. The version on this page when you book is the one that applies to your booking.
Law
These terms are governed by the law of England and Wales. You can bring a claim in the courts of England and Wales, or in Scotland or Northern Ireland if you live there.
3
Stays.
Stays are booked through our booking engine or by phone. Check-in is from 3pm and check-out is by 10am. Date changes are free at any time, subject to availability.
| Stay | Payment | Cancellation |
|---|---|---|
| The Lodges, the Flat and the Cottage | Full payment when you book | More than 14 days before: 50% refunded. Within 14 days: no refund |
| The House | 50% deposit when you book; the rest 14 days before arrival | 30 days or more before: full refund. 14–29 days: 50% refunded. Under 14 days: no refund, full payment due |
If you book a stay through another website, such as Airbnb, that website's payment and cancellation terms apply to your booking instead of the table above.
The House
Bookings must be made at least 14 days before arrival; for shorter notice, contact us. Minimum stay 2 nights. Up to 16 guests across 7 ensuite bedrooms. Extra guests, including day visitors, must be agreed with us in writing first.
We review every House booking within 24 hours and may decline it in that time. If we do, we refund the deposit within 5 working days.
A £750 damage deposit is held on your card 24 hours before arrival and released after check-out once the house has been checked. If anything is damaged or broken, we take the cost of repair or replacement from the hold, up to £750. Damage over £750 is invoiced separately.
Using the estate during your stay
Your stay includes your accommodation only. Spa treatments, swims, padel and other activities are booked and paid for separately, online or at reception. Please respect quiet hours and the other guests on the estate. We may ask guests who cause damage, danger or serious disturbance to leave, without a refund.
4
Spa, lake and padel.
These are booked through our booking portal, and each has its own full terms, which you see and accept at checkout. The key points:
| Activity | Cancel for a full refund | Later cancellations and no-shows | Full terms |
|---|---|---|---|
| Spa treatments, gym and PT sessions | At least 2 days before | Inside 2 days or no-show: full price kept | Spa terms |
| Spa packages and private spa days | At least 7 days before | 3–7 days: 50% kept. Inside 3 days or no-show: full price kept | Spa terms |
| Swims, sauna, tipi classes and lake events | At least 48 hours before | 24–48 hours: 50% back. Under 24 hours or no-show: no refund | Lake & Tipi terms |
| Padel courts | More than 48 hours before | 2–48 hours: court credit (valid 6 months). Under 2 hours or no-show: full price | Padel terms |
Ages. The spa and the lake are for guests aged 16 and over; 16 and 17 year olds must be with a responsible adult.
Health. Spa guests complete a health and consent form before treatments, and everyone who swims signs a safety waiver. Please tell us about any condition that could affect you.
No-show fees. If you don't arrive, we may charge up to the full price of the booking to a card saved with us (see section 8).
We don't accept cash anywhere on the estate. The spa terms on our booking portal replace any earlier spa terms document.
5
Events and tickets.
This covers supper clubs, theatre and music in the amphitheatre, seasonal events and anything else ticketed on our What's On pages. Lake and tipi events follow the Lake & Tipi terms in section 4.
- Tickets. Your ticket is confirmed when it is paid. Please bring your confirmation email; we may ask for your name on arrival.
- Your cancellations. Tickets can be cancelled for a full refund up to 7 days before the event. After that, tickets aren't refundable, but you can pass yours to someone else if you let us know their name.
- If we cancel or postpone. You'll get a full refund, or the choice of a place at the new date.
- Weather. Outdoor events go ahead in most weather. If we decide conditions are unsafe, we'll cancel and refund you in full.
- Changes. Line-ups, menus and running times can change. We'll tell you about any big change before the event.
- Ages. Any age limit is shown on the event page. Under-18s must be with an adult unless the page says otherwise.
- Food and allergies. Please tell us about allergies or dietary needs when you book, and at least 5 days before a supper club.
- Behaviour. We may refuse entry to, or ask to leave, anyone who is drunk, abusive or unsafe, without a refund.
- Photography. We sometimes photograph or film events for our website and social media. Tell a member of the team if you'd rather not be included.
Tickets paid for with a gift card are refunded to the gift card.
6
Online food ordering.
You can order pizza and other food and drink online for collection from the Bean Theory counter in the courtyard, Wednesday to Saturday, 12pm to 9pm (last orders 8.30pm). Hours can change; the ordering page always shows whether we're taking orders.
- Your order. You choose a collection time when you order and pay online. Your order is confirmed when you get your confirmation with your order number.
- Collection. Please collect at your chosen time and give your name and order number at the counter. If you're more than 30 minutes late, we can't guarantee your food will be at its best, and we won't refund it.
- Busy times. If the kitchen is very busy we may pause online orders or move your collection time. If we move it, we'll let you know, and you can cancel for a full refund instead.
- Cancelling. Food is made to order, so the 14-day cancellation right doesn't apply. Call us on 01223 491396 as soon as possible; if we haven't started your order, we'll refund you.
- If something's wrong. If your order is wrong, missing items or not right, tell the team when you collect or call us the same day, and we'll replace it or refund you.
- Allergies. Our kitchen handles all 14 major allergens, including gluten, milk and tree nuts. Allergens are listed on each item, but we can't guarantee any dish is free from allergens. If you have an allergy or intolerance, tell us in your order and speak to the team before you eat.
- Alcohol. Alcohol is only sold to people aged 18 or over. We operate Challenge 25 and may ask for ID when you collect. We won't hand over alcohol without it, and you'll be refunded for those items.
- Prices and member prices. Prices include VAT. Member prices only apply when you're signed in to your member account.
7
Gift cards.
Gift cards are bought at welly.waresley.info/gift-cards or from reception.
- Sending. We email the gift card to you or straight to the person it's for, now or on a date you choose. Please check the email address carefully; we aren't responsible for a card sent to a wrong address you gave us.
- Valid for 12 months from the date it's bought. The expiry date is on the card. Any balance left after that date can't be used.
- Where to use it. Spa treatments and spa days, the lake and tipi, padel, food and drink at the estate, and events, online or at reception. Gift cards can be put towards stays at the lodges, flat, cottage or House, but these must be booked by phone so we can apply the card.
- Spend it bit by bit. You don't have to use it all at once; what's left stays on the card until it expires. You can check the balance at welly.waresley.info/gift-cards/balance.
- Refunds. A gift card can be cancelled for a full refund within 14 days of buying it, if none of it has been used. After that, gift cards can't be exchanged for cash. If a booking paid for with a gift card is refunded, the money goes back onto the gift card.
- Keep it safe. Treat the code like cash. Anyone with the code can use it. If it's lost or stolen, tell us straight away and we'll stop the remaining balance if it hasn't been spent.
- Older gift cards and vouchers. Gift cards and vouchers bought before November 2026 through our old booking system have been moved to our new system with the same balance and expiry date, and work in the same way.
- Not for resale. Gift cards can't be resold or used for promotions without our agreement.
8
Saved cards.
- When you choose to save a card with us, it is stored securely by our payment provider, Stripe. We never see or keep your full card number.
- With your agreement, we may charge a saved card without you being present for:
- No-show and late-cancellation fees for bookings you don't attend, as set out in the cancellation policy for that booking;
- Restaurant and reservation charges you agreed to when booking;
- Membership payments, if you have a membership paid by card (see our membership terms);
- Any balance still owed on your bookings, where you agreed to this when your card was saved over the phone.
- We will only charge the amounts set out in the relevant terms, and we will email you when we do, except for regular membership payments, which you can see in My account.
- You can remove a saved card at any time in My account or by contacting us at membership@waresleyparkestate.co.uk. If the card pays for a membership, you'll need to add another card first.
9
Memberships.
Each membership has its own full terms, which you agree to when you join: Waresley Membership, Lake Membership and Full Estate Membership. In short:
- Length. Memberships have a minimum term of 12 months, then continue month by month until you cancel.
- Payment. Fees are paid monthly, at the rate shown when you join, and continue through the 12-month minimum term.
- Changing your mind. You can cancel within 14 days of joining for a refund, less the value of anything you've already used.
- Cancelling. You can give notice at any time by emailing membership@waresleyparkestate.co.uk. During the first 12 months, your membership ends at the end of the 12 months. After that, 30 days' notice is needed.
- Changes. We give at least 30 days' notice of any change to fees, benefits or terms. If a change is to your disadvantage, you can cancel without penalty before it takes effect, even within the minimum term.
- Benefits belong to the member named on the membership and can't be shared, except through guest passes where included.
10
Groups, corporate and private hire.
Corporate days, group bookings, exclusive use of the spa or the estate, private dining in the Long Room and other private hire are confirmed with a written quote and booking form. The terms in that quote apply, and these terms apply where it doesn't say otherwise. Unless your quote says differently:
- Deposit. 25% is due to confirm the date; the balance is due 14 days before the event.
- Final numbers are due 7 days before. We charge for the final number, or the number who attend if that's higher.
- Cancellation by you: more than 60 days before, the deposit is refunded less any costs we have already paid out for your event; 30–60 days, the deposit is kept; under 30 days, the full amount is due.
- Damage. The person or company who booked is responsible for damage caused by their guests, beyond normal wear and tear.
- Suppliers. Outside caterers, entertainers or suppliers must be agreed with us in advance and have their own public liability insurance.
11
Estate rules.
Waresley Park is a working estate and a home to wildlife, so we ask everyone to follow a few rules:
- Dogs. Dogs are welcome on the route to the coffee shop and in the courtyard, on a lead, and in the lodges for a fee when booked in advance. Dogs aren't allowed in the lake area, the spa or on the padel courts. Please clear up after them.
- Children. Children are welcome in the courtyard and at events, with an adult at all times. The spa and the lake are for guests aged 16 and over.
- The lake. Swim only in booked sessions with a lifeguard on duty. No swimming or paddling at any other time.
- Driving and parking. Drive slowly on estate roads, watch for walkers and wildlife, and park in the marked car parks. Parking is at your own risk.
- Drones and filming. No drones. Commercial photography or filming needs our permission in advance.
- Private areas. Please keep out of areas marked private, including the House when it is let and the stud.
Our team may ask anyone who ignores these rules or puts others at risk to leave.
